KidTrax Increases
Reporting Accuracy for Oprah Winfrey and Carthage/Leak
County Boys & Girls Clubs

Imagine if
one day you discovered that your program was actually serving
more kids than you thought … 50 percent more! Kelvin McGruder, Executive Director with the
Oprah Winfrey Boys & Girls Club (BGC) of Kosciusko, MS, and the Boys
& Girls Club of Carthage/ Leak County, MS
actually did. “We just
completed our first full year of using KidTrax and our reports revealed that we had actually
been underestimating our attendance by 50 percent,”
states McGruder. “We couldn’t believe it … this was a
direct result of using a scanner that automatically
reads ID cards versus using a trigger.”
According to McGruder, KidTrax also
simplified their annual reporting process to the BGC of
America. “Our reporting and auditing have never been
more accurate,” notes McGruder. “In a single report, we
can show youth participation by age, ethnicity, and
grade. The reports are very comprehensive, and all the
information you need is already built in. Our reporting
has been so good, in fact, we qualified for an
increase in funding from TANF [Temporary Assistance for
Needy Families] because of the data we
were able to include in our latest audit.”
The BGCs
McGruder oversees also use VolunteerTrax and StaffTrax. “Our
volunteer and staff time is fully accounted for,” says McGruder. “This information is part of our monthly board
meetings and is very helpful in making management
decisions and justifying staff time.”
Like many BGC executive directors,
McGruder is busy and sometimes needs to access club data
remotely. “Being able to pull up reports and look at
club information while I’m out of the office is an
important feature for me,” says McGruder. “KidTrax
allows me to easily do this even when I am sitting in my
board president’s office. It’s a great tool!”
